What to Expect When You Hire an Event Operations Partner in Kelowna: Our 5-Step Process

Hiring an event operations partner with Ankor follows five steps: Align, Plan, Manage, Deliver and Learn. A signature event typically runs about 9 to 12 months from first conversation to final debrief. You bring the vision, one key contact and timely approvals, and we run the details.

If you’ve never worked with an event operations partner, it helps to know how it works before you start. This is Ankor Strategies’ 5-Step Service Delivery Framework, the process behind every event we run. We adapt it to each client and event, and the five steps stay the same.

Step 1: Align (Discovery and Strategic Alignment)

We start with the why. Is the event meant to drive revenue, mark a milestone, deepen community ties or bring key stakeholders together? That answer shapes every decision after it.

We lead this conversation. We ask the questions, test assumptions where it helps, and define:

  • The main purpose of the event

  • The audiences and what matters to them

  • Measurable goals tied to your organization’s broader goals

You leave with a project brief everyone has agreed on.

Step 2: Plan

With the goals set, we build the master roadmap. It’s the shared source of truth for your team and ours, and it includes:

  • A cost estimate and budget framework

  • A work-back schedule with milestones, owners and deadlines

  • The resources the event needs: venue, vendors, AV and staffing

  • A risk review, with a plan for each risk

Every task is assigned to Ankor, to you or to a named vendor. Clear ownership is what keeps a long project moving.

Step 3: Manage

This is the longest phase. We keep logistics, schedule, budget and brief on track, and keep you informed without burying you in operational detail. That includes:

  • Maintaining the work-back schedule and flagging changes early

  • Regular progress and budget updates

  • Acting as the central contact for vendors, including contracts, communication and logistics

  • Coordinating venue, catering, AV and technical needs

If something goes off track, you hear it from us first, along with a solution.

We account for the variables when we quote, so small adjustments are handled within the plan. If a whole new area of work comes up, such as adding sponsor sales when it wasn’t in the original scope, we talk it through and agree on it before we start.

Step 4: Deliver

On event day, we lead on site. We run the event to the approved run of show and act as the point of contact for vendors, staff and on-site teams. We resolve issues as they come up and oversee every detail, from lighting and sound to the guest experience, so the event reflects your brand and goals at every touchpoint.

That frees you to spend the day with your guests, sponsors and team.

Step 5: Learn

The event ending is where we turn what happened into a system. We:

  • Hold a debrief with your team within two weeks, while details are fresh

  • Reconcile the final budget against the original estimate with your finance team

  • Deliver an outcomes and next steps report within 30 days covering what worked and what to improve

  • Update your processes, checklists and SOPs based on what we learned

When your team asks for a change after the event for next year, we record it in the meeting minutes and build it into the SOP and checklist for next year. It gets carried forward and doesn’t get skipped.

How the process adapts

A fundraising gala and conference look very different in practice, and both follow the same five steps. The depth of each step scales with the size and complexity of the event. The standard of strategic thinking and operational leadership is the same for every client.

What we need from you

  • A kickoff meeting to align on goals

  • One key point of contact on your team who is accessible during the project

  • Timely responses on approvals, especially high-level budget items
